Creating and selling items with register rules

If your store carries items that have sales restrictions in your area, you can set up register rules to help you enforce those restrictions.

  • Purchase limit: Restricts the quantity of an item that can be purchased in a single transaction.
  • Age restriction: Requires the customer to verify their age before purchasing the item.

You can create up to 25 register rules in your account. Each rule can have up to 100 items added.

To scan your customers' IDs for age verification, you'll need a Zebra ZDS2200 Series barcode scanner if using a desktop or a Zebra CS4070 barcode scanner if using an iPad. To purchase a barcode scanner, navigate to your region's Lightspeed store or contact your Sales Account Manager.

Setting permissions for register rules

By default, Account Owners, Managers, and Admins can create or edit register rules. To allow other employee roles to access register rules:

  1. Navigate to Settings > Employee Roles.

  3. Click Save Changes.

The role will now have permission to create new register rules or edit existing ones.

Allowing manager override

In some regions, exceptions to normal age restrictions on certain items may apply. The Manager Override permission allows a user to override the age restriction rule and authorize the item's sale. Any user with this permission is responsible for knowing local laws and exceptions. An override can't be used to allow a sale to take place with an expired ID.

Only certain forms of ID can be scanned for age verification. Non-scannable forms of ID can be entered manually by employees using their Manager PIN if they have the Manager Override permission active.

To allow an employee role to enter ID information manually:

  1. Navigate to Settings > Employee Roles.
  2. In the General - All section, ensure the checkbox next to Manager Override is selected.

Creating register rules

If you're using Retail POS with eCom (C-Series), the register rules you configure in Retail POS will only block in-store sales. To block online sales as well, age verifications and quantity limits need to be configured in eCom. The same applies if you're using Retail POS with a third-party eCommerce solution.

To create register rules:

  1. Navigate to Settings > Register Rules.

  3. In the Name field, enter a descriptive name.

  4. In the Type dropdown menu, select the appropriate rule type:
    • Purchase Limit: maximum quantity of items purchased per sale.
    • Age restriction: minimum age to purchase the items.
  5. Check the box next to each shop where the rule will be active.
  6. Click Add Items.
  7. Find the items you want the rule to apply to, using filters if necessary.

  10. Click Save Changes.

With register rules established, you're ready to make sales per your local laws and restrictions. You should stay informed on any changes to laws and regulations and keep your register rules updated accordingly.

Selling items with purchase limits

A purchase limit register rule restricts the quantity of an item that can be purchased in a single transaction.

    Add items to the sale as usual. If the number of items added exceeds the allowed quantity, a warning will display and the quantity will automatically revert to the last permitted quantity.

This restriction applies only to items being sold. It is possible to refund as many items as needed, regardless of any purchase limits on the items.

Selling items with age restrictions

An age restriction register rule requires that the customer verify their age before they can purchase the items. As soon as an age-restricted item is added to a sale, an age verification window will pop up prompting you to scan the customer's identification.

    Once you've added an age-restricted item, you will be prompted to scan the customer's ID.

    To age-verify the customer:

    1. Use your barcode scanner to scan the 2D barcode on the customer's identification.

      Your barcode scanner may attempt to scan and prioritize the simpler, 1D barcode instead. Cover the 1D barcode with your finger while scanning to prevent this.

    2. Compare the customer's name, date of birth, expiry date, and ID number on the screen with their identification and make sure they match.

    3. If the customer's identification and the on-screen information are a match, click Yes, ID matches.

    Once the customer's identification has been verified, the sale is considered age-verified. More age-restricted items can be added to the sale, and, provided the customer meets the minimum age for those items as well, they can be added without needing further verification. However, any items with a higher minimum age to purchase than the customer's age will not be added to the sale.

    Manually verifying the customer's age on desktop

    Not every ID has a scannable barcode for age verification. If a customer presents a non-scannable ID, you can proceed with a manual verification, provided someone with the Manager Override permission is present.

    1. Click Manager Verification (requires Manager Override rights).

    4. Enter the ID expiry date.
    5. Click Confirm.
    6. Enter your Manager PIN. This must be the Retail PIN of a user with the Manager Override permission.

    7. If the customer's age is high enough and their status is Valid, click Authorize.

    If the customer's age does not meet the requirements or the customer's identification has expired, the field will display in red. Click Remove item to remove the items. A temporary banner will display and the age-restricted items will be removed from the sale.

Understanding how register rules work together

Depending on the items you sell and your region, it may be necessary to implement several register rules at once to ensure you're complying with local laws and requirements. For example, you may need one rule to limit the age of a customer buying alcohol and another rule to limit the amount of alcohol purchased in a single transaction.

Two conflicting rules may apply to the same item during a sale. If this occurs, the more restrictive rule will be applied. For example, if an item has a purchase qu≤antity limit of 5 in one rule and 3 in another, the rule limiting the purchase quantity to 3 will be applied. If an item has a minimum age restriction of 18 years old in one rule and 21 years old in another, the customer will need to be age-verified as 21 years old to purchase the item.
