Searching for items

To take full advantage of Lightspeed Retail POS, it's important to understand which item details can be searched and filtered from the register and throughout your account. This way, you can know which item details to enter when you add, import, or edit your items.

Searching for an item

Searching for a specific item varies if you’re using Retail POS or an iPad.

  • Retail POS

    When you want to find a specific item in your inventory, follow these steps:

    1. Navigate to Inventory > Item Search.

    2. Type or scan your item's searchable details in the Search Item Descriptions field.

    3. (Optional) Select tag(s) to include or exclude in the Tag(s) and Exclude Tag(s) fields.
    4. (Optional) Use the available filters under Advanced to refine your search results.
    5. Click Search.

    The list of items matching your specifications will appear.

  • iPad

    When you want to find a specific item in your inventory on your iPad, follow these steps:

    1. Tap New Sale.

    3. (Optional) Toggle between the thumbnail or list views by tapping the icon next to the search field.

    4. (Optional) Use the available filters to refine your search results by Category, Tag(s), and/or Brand(s).
    5. Type or scan your item’s searchable details in the Search items field.

    The list of items matching your specifications will appear.

    Tapping the item will show the Item Details panel on the right side of your screen.

    You can tap the item’s photo to see an enlarged image. Tapping the arrow at the bottom of the screen will also show the item’s Brand, Category, Qty on Hand, and Price. You can swipe to show more images, tap Add to Sale to add the item to the sale, or tap the X to close this preview.

Understanding searchable and filterable item details

Searchable details

Searchable details are details about your item that can be typed into a Search field to locate the specific item. You can find the location of these details on your item’s individual page under Details. The following item details are searchable:

  • Description
  • System ID
  • UPC
  • EAN
  • Custom SKU
  • Manufacturer SKU
  • Tags
  • Vendor ID*

*Vendor ID is not a searchable field on iPad.

Filterable item details

You can filter out items on Retail POS and iPad to narrow down the list of items in your search by relevant terms.

  • Retail POS

    Filterable details can be filtered using drop-down menus and/or checkboxes on the Item Search screen. You can find the location of these details on your item’s individual page under Details and Inventory. The following details are filterable:

    • Type
    • Serialized
    • Matrix (which matrix attribute set the item is assigned to)
    • Category
    • Brand
    • Publish to eCom
    • Tax Class
    • Vendor
    • Archived (whether the item is active or archived)
    • Catalog Results (display catalog search results)
    • Show All Locations (display the quantity on hand for each of your locations)
    • Items w/ Inventory
    • Items w/o Inventory

  • iPad

    Filterable details can be filtered using drop-down menus on the Sale screen. You can find the locations of these details on your item’s individual page under Details and Inventory. The following details are filterable:
