Searching for sales in Retail POS

The Recent activity section lets you quickly perform actions like printing receipts or processing refunds for today’s sales.

Click Sales history for a streamlined overview of the last 30 days of activity. This can be useful to filter or analyze day-to-day sales activity, quickly continue in-progress sales, or find completed sales to start refunds or exchanges.

Sales over 30 days old can be found with the Customers or Reports pages. This is also the best way to print receipts for sales older than today.

Finding sales in Recent activity

The Recent activity section of the Sales screen lets you quickly access today’s sales, including refunds and cancelled sales.

Select Sales historyfor detailed information on sales in the last 30 days.

In the Recent activity section, you can perform actions by clicking the icons beside each sale:

  • Continue sale (shopping cart).
  • Open/Refund (pencil) moves a completed or cancelled sale to the Sales screen.
  • Print receipt (receipt).
  • Email (envelope) includes sales details, as well as the option to send an email receipt or print a gift receipt.

Click View all under Today’s Transactions for a detailed view of the day’s sales activity.

Using the Sales history section

The Sales history page provides a streamlined 30-day history of sales activity. Clicking a sale opens a side panel that includes details about each sale, like the sales ID, customer name, and time the sale was made. You can continue in-progress sales and find completed sales to start refunds or exchanges. Sales older than 30 days can be found from the Reports or Customers page.

Access to some information and features on the Sales history page depends on the logged-in user’s employee role.

To access Sales history on Desktop, click Sales > Sales history from the main menu. On iPad, select Manager > Sales > Sales history. Select a sale to view its details in the side panel.

You can use the search bar to find a sale either by using the sale ID or by scanning the receipt.

Select different locations from the shop dropdown. Click Filters to filter the results by employee.

Understanding Sales history badges

The sales history uses badges to highlight some sales. This makes the specific sales stand out in case they need to be investigated further.

  • In progress indicates a sale is in progress. Click Continue sale to move it to the Sales page.
  • Discounted indicates that a sale was discounted, as well as the total amount that was discounted.
  • Refund indicates that a sale includes a refund.

Click a sale to open the side panel, which includes in-depth information on the sale. Each line item includes an icon to indicate what type of charge it is.

If an item has been discounted, a discount icon will be displayed beside the item. You can hover over the icon to display the discount rate.

Searching for sales over 30 days old

Sometimes you’ll need to access or print a receipt from a sale that isn’t in the Recent activity section. On Desktop, this can be done from the Reports or Customers section. You need a user role with permission to access the Reports page.

On iPad, all past sales can be accessed from the Sales tab.

Accessing sales from the Customers page

If a customer was attached to the sale, their past sales can be found from the Customers page.

  1. From the side menu, navigate to Customers > Customers.
  2. Use the search filters to locate the customer.
  3. Click the customer name to navigate to their profile.
  4. Click Sales and locate the sale.
  5. Click the envelope icon or sale ID. From there, you can start a refund or print receipts. You can click the Refund icon from the Sales page to start processing a refund or exchange.

Accessing sales from the Reports page

If no customer was attached to the sale and it isn’t on the Sales history page, it can be accessed from the Reports page.

You need a user role with permission to access the Reports page.

  1. From the side menu, navigate to Reports > Totals.
  2. Use search filters to locate the sale.
  3. Click the sale ID. From there, you can start a refund or print receipts.

Searching for sales on iPad

Scanning receipts in the Sales tab is a quick way to pull up a sale.

  1. Select the Sales tab.
  2. Select the magnifying glass (search icon).
  3. Scan the receipt.

If a scanner isn’t available, search using the last three digits of the receipt number to filter the search results. You can also search with the sale ID or by the customer’s name if a customer was attached to the sale.
