Factors to consider before adding your inventory

Migrating from a previous POS

If you're migrating from a previous POS, export your inventory data to get a head start on your import file. Using a spreadsheet program like Google Sheets is the fastest way to migrate your inventory to your Retail POS account, especially if you have a large inventory.

If you're not migrating from a previous POS, create your import file from scratch, using a spreadsheet program like Google Sheets.

Quantity on hand (QOH) accuracy

If your QOH from your previous POS is reliable, you can save time getting started with Retail POS. Export your inventory data to get a head start on your import file.

If not, before you export your inventory data, do an inventory count in your previous POS. Inventory counts are typically at the end of the day or overnight to avoid miscounts.

If for any reason you aren't able to do an inventory count in your previous POS, you can do one in Retail POS after you import your items. If you don't foresee being able to do an inventory count before your go-live date with Retail POS, go live with a QOH of 0 for all your items. Once you start processing sales, your inventory will go into the negative and you can plan to do an inventory count to correct it when you have time.

Importing inventory

Learn more about importing your inventory or using the Retail Imports team to help with importing. Typically, importing your inventory yourself is the fastest option to get your inventory into your Retail POS account.

Alternatively, you can add your items manually.

Selling during the transition to Retail POS

If you're planning to sell items while you migrate your inventory data from your previous POS system to Retail POS, you'll need to exclude your QOH in your initial import file. Then, the day before your start processing sales in Retail POS, you'll need to import your QOH using a purchase order. The import file will only need three columns:

  • Unique identifier (e.g. UPC)
  • QOH
  • Unit cost

If you're planning to sell items while you migrate, include both your inventory data and QOH in your initial import file. As you won't be selling items after you export your inventory data, your QOH will remain accurate.

Adding items to your inventory

You can import up to 10,000 items at a time. As larger inventories tend to be more complex to import, it's recommended to format your import file and send it to the Retail Imports team for help with importing.

Importing variants

If some of your items are the same but vary in size, color or other attributes, like t-shirts, import your items as variants grouped within a specific matrix.

Otherwise, you can import your items as individual singles, assemblies or boxes.
