Managing rentals

There are two ways you can manage rentals in Lightspeed Retail.

  • Creating a rental as a non-inventory item: doesn't track rental time.
  • Creating a rental as a quote: tracks rental time.

To create a rental non-inventory item

  1. From the main menu, click Inventory > New Item.
  2. Enter the item details. Name the item appropriately, for example, Bike Rental 1 hour, and set the type as Non-Inventory.

    NOTE: For detailed information about creating an item go to Adding items.

  3. Ring up this item, before or after the rental, with the amount of time to rent it for. For example, for three hours, ring up Bike Rental 1 Hour x 3. You can optionally add a deposit that can be refunded when the rental is returned.

To create a rental quote

  1. From the main menu, click Inventory > New Item.
  2. Enter the item details. Name the item appropriately, for example, Snowboard Rental 1 hour, and set the type as Non-Inventory.

    NOTE: For detailed information about creating an item go to Adding items.

  3. Create a new sale and attach the customer's name to it. Add the Snowboard Rental 1 hour item to the sale.
  4. Click Save as Quote and print the quote receipt. You can give the quote receipt to the customer to help them keep track of time, or keep it in store for your records. The time at the top of this receipt can be referenced as the rental's start time.
  5. When the customer returns with the rental, scan the receipt's barcode to reopen the sale, If the customer doesn't have the receipt, you can search for it from the main menu in Customers by clicking the customer's name and clicking the Quotes section on the left menu. Find the rental transaction, which is probably the most recent, and click Reopen.
  6. Adjust the quantity of the Snowboard Rental 1 hour to reflect the time passed since the start time.

NOTE: If you want to take a deposit, you do it in a separate transaction after you quote the rental, and refund the deposit when the rental is returned.
