Setting up payment processing with Vantiv (Dejavoo Z9/Z11 terminal - Canada)

This article explains how to configure Vantiv as a payment gateway in Lightspeed Retail and set up an EMV-enabled Dejavoo Z9 or Z11 payment terminal for use with Vantiv.

Please note the following when using Vantiv with Lightspeed Retail:

  • To refund deposits back to your customer's credit card, you will need to select Credit/Debit and swipe the credit card in step 6 of the general refunding deposits workflow.
  • Removing a Vantiv payment from an in-progress sale will void it and refund your customer's debit or credit card. However, voiding a completed Vantiv sale will delete the sale and its associated payment from your reporting but it won't officially refund your customer's debit or credit card. To return items to inventory and officially refund your customer's card, we recommend refunding the Vantiv sale instead.

Note: This payment terminal is no longer available for purchase through Lightspeed, but is still supported on accounts that already have it.

Configuring the Vantiv Gateway

If you have not already enabled Vantiv as your default gateway in Lightspeed Retail, you will need to configure your payment settings before the payment terminal can be added to your account. You will need to refer to the gateway credentials sent to you by Vantiv

  • Configuring the Vantiv Gateway on your computer

    1. Log in to Lightspeed Retail as an administrator using your username and password.
    2. Navigate to Settings > Payment Processing.
    3. Click + Add Payment Gateway.
    4. From the drop-down menu, select Vantiv. The options for the gateway will now display.
    5. If you have a multi-store account, under Select Shops, select all locations that will use the gateway.
    6. Under Credit Card Payment Mapping, for each of the credit and debit card types, select how the corresponding card type will appear on invoices and sales reports. For example, if you created a custom Visa payment type, selecting it from the Visa list will mark all Visa sales as Visa. If you want to change the names of cards in Credit Card Payment Mapping, you will need to set up the credit card payment type in Settings > Payment Types, so the Credit/Debit button appears in Lightspeed Retail.
    7. Click Save.
  • Configuring the Vantiv Gateway on your iPad

    1. Log in to Lightspeed Retail as an administrator using your username and password,
    2. From the Manager tab, tap Settings > Payment Processing.
    3. Tap + Add Payment Gateway.
    4. From the drop-down menu, select Vantiv. The options for the gateway will now display.
    5. If you have a multi-store account, under Select Shops, select all locations that will use the gateway.
    6. Under Credit Card Payment Mapping, for each of the credit and debit card types, select how the corresponding card type will appear on invoices and sales reports. For example, if you created a custom Visa payment type, selecting it from the Visa list will mark all Visa sales as Visa. If you want to change the names of cards in Credit Card Payment Mapping, you will need to set up the credit card payment type in Settings > Payment Types, so the Credit/Debit button appears in Lightspeed Retail.
    7. Tap Save.
    8. Tap Done to return to the manager screen. 

Adding the Dejavoo Z9/Z11 to your network

The Dejavoo Z9 connects to Vantiv using a Wi-Fi connection, while the Z11 connects via Ethernet.

  • Connecting the Dejavoo Z9 to your Wi-Fi network

    1. Power on the terminal by pressing the Up arrow key on the bottom-left corner of the keypad.
    2. When the terminal finishes initializing, press the green OK button on the keypad to access the terminal's Core Menu.
    3. When prompted, enter the terminal's password using the keypad and press OK.
      Note: The terminal’s factory default password is 1 2 3 4.
    4. Using your fingertip tap Utility. You may be prompted to enter the password again to access the Utility menu.
    5. Tap Communications > Local Parms. > WiFi > Scan Network.
    6. The terminal scans for wireless networks and lists them. When your 
    7. From the list, select your Wi-Fi network.
      Note: If you are connecting to your iPhone's Personal Hotspot with Wi-Fi, ensure that your iPhone's name only contains letters, numbers, and spaces. Special characters are not supported. To change your iPhone's name, refer to this Apple article.
    8. Tap Configure > Set Password.
    9. Enter your WLAN password using the keypad.
      Note: NOTE: The terminal's keypad uses multi-tap text entry. For example, pressing the 2 key will cycle through the number 2 and the letters a, b, and c in both lower and upper case. To enter a special character or symbol, tap the keyboard icon on the terminal screen and then tap the character you want.
    10. Press OK. The terminal displays a confirmation once it is connected to the WLAN.
  • Connecting the Dejavoo Z11 to your LAN via Ethernet

    1. Power on the terminal by pressing the Up arrow key on the bottom-left corner of the keypad.
    2. Connect the terminal's Ethernet cable into the network port on the bottom of the terminal (identified as LAN port).
    3. Connect the other end of the cable to a spare port on your network device (modem, router or switch).
      NOTE: You must connect the Z11 terminal to the same local area network as the computer(s) on which you use Lightspeed Retail. 
    4. By default, your network assigns a dynamic IP address to the terminal. If you need the terminal to use a static IP address, you need to manually configure your network settings: 
      1. Press the green OK button on the keypad to access the terminal's Core Menu.
      2. When prompted, enter the terminal's password using the keypad and press OK.
        NOTE: The terminal’s factory default password is 1 2 3 4.
      3. Tap Utility. You may be prompted to enter the password again to access the Utility menu.
      4. Tap Communications > Local Parms. > Ethernet > Static Parms.
      5. Configure a static IP address for the terminal, as well as the Netmask, Gateway and DNS.

Adding the terminal to Lightspeed Retail

Lightspeed Retail POS is designed to save all the terminals that you've added to your Vantiv gateway in a  list shared between your computers and iPads. If you use Lightspeed Retail POS on multiple devices, this list helps facilitate future terminal setups. When you use your computer or the Manager tab on your iPad to remove a terminal from your Lightspeed Retail POS, the list updates on all your devices.

  • Adding the terminal to Lightspeed Retail via the browser

    1. Power on the terminal by pressing the Up arrow key on the bottom-left corner of the keypad. 
    2. From the main menu of your Retail account, click Settings > Payment Processing.
    3. From the Vantiv gateway you added in the previous section, click + Add a Payment Terminal. The options for the terminal will now display.
    4. Enter a name for the terminal.
    5. Enter the terminal’s serial number. The serial number for your Dejavoo Z9/Z11 can be found on the back of the unit. It consists of 12 numeric digits and typically starts with "11"; for example: S/N: 118800006241.
    6. Click Test connection and save.
  • Adding the terminal to Lightspeed Retail via iPad

    1. Navigate to the Profile screen.
    2. Tap Payment Terminal.
    3. Tap Add a payment terminal.
    4. Enter the terminal's Name and tap Next.
    5. Enter the terminal’s serial number. The serial number for your Dejavoo Z9/Z11 can be found on the back of the unit. It consists of 12 numeric digits and typically starts with "11"; for example: S/N: 118800006241.
    6. Tap Next.
    7. Once the terminal is successfully paired, tap Done.
    8. From the list of payment terminals, a checkmark appears to the left of the terminal's name to indicate the connection between your iPad and terminal is successful. 

Settling daily batches

Settling, or closing, the batch involves transmitting all authorization codes for approved credit and debit transactions to Vantiv for sorting and forwarding to the issuing banks. At settlement, the issuing banks release the funds to Vantiv, which in turn, deposits them into your account, typically within 48 hours of the transaction.

  1. Power on the terminal by pressing the Up arrow key on the bottom-left corner of the keypad.
  2. When the terminal finishes initializing, press the green OK button on the keypad to access the terminal's Core Menu.
  3. When prompted, enter the terminal's password using the keypad and press OK.
    NOTE: The terminal’s factory default password is 1 2 3 4.
  4. Using your fingertip tap Settlement.
  5. Tap Settle Daily Batch. You may be prompted to enter the password again.

The terminal communicates with Vantiv and displays the relevant response from the host system (Approved or Declined). Once batch processing is complete, the terminal prints a report and returns to the Core menu.

Optional Settings

  • Standalone mode

    Standalone mode bypasses SPIn mode and allows you to continue processing transactions in the event of a loss of connectivity between the terminal and Lightspeed Retail.

    The Dejavoo Z9/Z11 can process only a single transaction at a time while in standalone mode. The terminal will revert back to SPIn mode once the transaction completes and you will need to set it back to standalone mode for each subsequent transaction.

    1. Power on the terminal by pressing the Up arrow key on the bottom-left corner of the keypad.
    2. When the terminal finishes initializing, tap the yellow star icon on the terminal screen to access the favorites menu.
    3. When prompted, enter the terminal's password using the keypad and press OK.
      NOTE: The terminal’s factory default password is 1 2 3 4.
    4. Using your fingertip, tap TURN SPIN BYPASS ON, or press 1 on the terminal's keypad to disable SPIn mode.
    5. The terminal prompts you to specify the payment method (the default is Credit), the transaction type (the default is Sale), and the purchase amount. Using your fingertip tap Credit if you want to change the payment method, and tap Sale to change the transaction type.
    6. When you're ready, enter the purchase amount on the terminal's keypad and press the OK button.
    7. When prompted, swipe or tap the credit or debit card, or manually enter the customer's card information.
    8. Once the transaction is approved, the terminal reverts back to SPIn mode and returns to the idle prompt.
  • Manual input mode

    If needed, you can manually enter a customer's credit card information during transaction processing.

    1. Power on the terminal by pressing the Up arrow key on the bottom-left corner of the keypad.
    2. Initiate a sale with a credit card payment in Lightspeed Retail, and click Finish Sale to proceed with payment.
    3. When the tap/swipe mode appears on the terminal screen, start entering the customer's credit card number on the terminal's keypad and press OK.
    4. When prompted, enter the credit card's expiration date and press OK.
    5. Using your fingertip tap YES if the credit card is present or NO if it isn't.
      NOTE: If you tap NO, the terminal prompts you for the customer's AVS (Address Verification Service) information as well as the credit card's CVV2 or CVC (Card Verification Value or Card Verification Code).
    6. The terminal returns to the idle prompt once the transaction is approved.
  • Store and forward mode

    Store and Forward mode allows you to process transactions while the Dejavoo Z9/Z11 is in offline mode (the terminal is unable to communicate with Vantiv). The transactions are stored locally, on the terminal, until connectivity between the terminal and Vantiv is restored. Once the connection is reestablished, you can forward stored transactions on the terminal to Vantiv.

    Please be aware that there are some risks associated with using Store and Forward; for example, since transactions are not authorized immediately, you could potentially process a card that may not be valid or process transactions above the available balance on the card.

    NOTE: EMV transactions are NOT supported in Store and Forward mode.

    To enable Store and Forward mode on the Dejavoo Z9/Z11

    1. Power on the terminal by pressing the Up arrow key on the bottom-left corner of the keypad.
    2. When the terminal finishes initializing, press the green OK button on the keypad to access the terminal's Core Menu.
    3. When prompted, enter the terminal's password using the keypad and press OK.
      NOTE: The terminal’s factory default password is 1 2 3 4.
    4. Using your fingertip tap Applications.
    5. Tap Credit/Debit > Host Utility > Store N Forward.
    6. In the Store N Forward menu, tap Settings.
    7. Tap Mode.
    8. Tap Enable.

    The terminal displays a message indicating that Store and Forward mode is enabled and returns to the Store and Forward Settings menu.

    To forward stored transactions to Vantiv

    NOTE: Before forwarding stored transactions for approval, make sure the terminal is online (connected to Vantiv); the screen should say POS Online.

    1. Power on the terminal by pressing the Up arrow key on the bottom-left corner of the keypad.
    2. When the terminal finishes initializing, press the green OK button on the keypad to access the terminal's Core Menu.
    3. When prompted, enter the terminal's password using the keypad and press OK.
      NOTE: The terminal’s factory default password is 1 2 3 4.
    4. Using your fingertip tap Applications.
    5. Tap Credit/Debit > Host Utility > Store N Forward.
    6. In the Store N Forward menu, tap Forward.
    7. Tap the desired forward option: All Pending, Stored or Failed.

    The terminal begins forwarding transactions according to the option you select. Once the forward process completes, the terminal prints a report showing all transactions with an approval code. Failed transactions are also included in the report under the Failed section. If the report does not contain a Failed section, all transactions were forwarded successfully and given approval codes. You can now settle your daily batch.

    NOTE: If there are any failed transactions, the terminal will not let you Settle Daily Batch until you delete all failed transactions.

    To delete failed transactions

    1. Power on the terminal by pressing the Up arrow key on the bottom-left corner of the keypad.
    2. When the terminal finishes initializing, press the green OK button on the keypad to access the terminal's Core Menu.
    3. When prompted, enter the terminal's password using the keypad and press OK.
      NOTE: The terminal’s factory default password is 1 2 3 4.
    4. Using your fingertip tap Applications.
    5. Tap Credit/Debit > Host Utility > Store N Forward.
    6. In the Store N Forward menu, tap Delete Failed.
    7. Tap the desired option: All Failed or By Transaction.
