Exporting internal notes on work orders

Leaving an internal note on a work order is a helpful way to communicate between employees. If you leave an internal note on a work order, how you can view or export it is dependent on whether the work order is in progress or completed.

 

Exporting internal notes on in-progress work orders

If you leave an internal note on an in-progress work order (a work order with any status other than Done & Paid) you can view, edit or delete it directly from the individual work order. The same applies to receipt notes.

If you want to view the internal notes of multiple in-progress work orders, however, you need to export the Workorders report. To do so:

 

  1. From the main menu, click Reports Workorders.
  2. Optionally, use the available filters to refine your search.
  3. At the top-right of the search results, click Export

Note: At this time, you can't search for an internal note in your reports like you can for receipt notes with the Notes field. Instead, you need to search for the work order that the internal note appears on.

A CSV file will download on your web browser. Open the CSV file with a spreadsheet software (e.g. Google Sheets, Excel, Numbers or OpenOffice). If a work order has an internal note, it'll appear under the Internal Note column.

Note: Only internal notes on in-progress work orders appear in exports of the Workorders report. To see internal notes on sales and refunds, please see Exporting internal note on sales and refunds.

As for receipt notes on in-progress work orders, you can't export them as their own column like you can for internal notes at this time. They are included in the Description column, however. You can also view them in the Workorders report under the Description column and directly from an individual work order (as previously mentioned).

Exporting internal notes on completed work orders

If you leave an internal note on a work order and complete it at the register, it's status is changed to Done & Paid status. Once it has this status, you can no longer view, edit or delete it directly from the individual work order. You can still view receipt notes, however.

Instead, if you want to view the internal notes of completed work orders, you need to export the Lines report. To do so:

 

  1. From the main menu, click Reports Lines.
  2. Optionally, use the available filters to refine your search.
  3. At the top-right of the search results, click Export

As for receipt notes on completed work orders, you can't export them as their own column like you can for internal notes. However, they are included in the Description column of CSV files. Completed work orders are also listed as line items on transactions in reports. This means that, if you're viewing the Lines submenu of a transaction in a report (e.g. the Totals report), you can see the receipt note in the Description column.  Screen_Shot_2020-03-17_at_5.37_1__1_.png

Alternatively, you can see receipt notes on completed work orders in the Lines report under the Description column. You can also see receipts notes if you view work orders individually (as previously mentioned).
