Creating custom fields

You can create up to 100 custom fields for use in Customer, Item, or Purchase Order records. The custom field appears in the corresponding record as shown here.

NOTE: You can also duplicate custom fields.

To create a custom field

  1. From the main menu, click Settings > Custom Fields > New Custom Field.
  2. Enter a Custom Field Name.
  3. Select where you want the custom field to appear and click Continue.
  4. Specify the settings for the type of custom field you're creating and click Create Field.
Text

Creates a single or multi-line text box.

Multiple Lines: Select this option to allow for multi-line text entries.

Default Value: Enter the default text for the custom field. Leave this option blank if you don’t want a default text.

Validation Format: You can set a validation format for the custom field for websites and email addresses. If you choose a validation format, you will not be able to enter a text value in the custom field that doesn’t conform with the selected validation format.

Number

Creates a text box with a unit designation, such as ft, lb, or $.

Decimal Places: Enter the maximum number of allowable decimal places. For example, if 3 is entered, you can enter a number value such as 2.950. If you enter more than the maximum allowable decimal places, the entry will be rounded up/down and truncated.

Default Value: Enter the default number value for the custom field. Leave this option blank if you don’t want a default number value.

Units: If the field number value has a specific unit, such as feet or inches, enter the unit using a maximum of 4 characters. The unit appears to the right of the custom field.

Date

Calendar entry field with optional time field.

Include Time: Select this option if you want the date custom field to include a field for the time as well. The time field will appear to the right of the date field.

Checkbox

Creates a selectable checkbox.

Default to checked: Select this option if you want the checkbox to be selected by default.

Single choice

Creates a drop-down selection list.

Create the selection options for the drop-down list by entering the option label and then clicking Add Choice for each option.

NOTE: To edit an option's label, make it the default selection, or delete it from the list, click the option to open the edit window. Click Save after editing the option, or Remove to delete the option from the list.

Multiple choice

Creates a checkbox group with multiple selections.
