Setting reorder points and desired inventory levels

In your Retail account, you can maintain consistent stock levels and avoid over ordering by using reorder points and desired inventory levels.

  • A reorder point is the quantity when an item is considered to be low in stock and should therefore be reordered.
  • A desired inventory level is the quantity you want to be at once you replenish your stock. 

 

One you've entered your target quantities for each, Lightspeed Retail will calculate how much you need to order by taking into account your item's:

  • In Stock quantity
  • Incoming quantity on transfers (if multi-store)
  • On Order quantity on purchase orders
  • Stock quantity in boxes (if the single item is part of a box)
  • Back Order quantity in boxes (if the single item is part of a box)

 

You can then leverage the need derived from these calculations in the following areas of your Retail account such as:

    Single items

    With single items, the math involved to calculate how much you need to order is quite straight forward.

    For example, if you enter a reorder point of 5, a desired inventory level of 10 and you currently have 0 In Stock, and Incoming, then your Retail account will automatically calculate that you need to order 10 of said item.

    Box items

    When dealing with a single item that is part of a box item, the math involved to calculate how many of the single item you need to order is slightly more complex as your Retail account needs to taking into consideration the Stock and Back Order quantities in boxes.

    For example, let's say it takes 10 single items to make up a box, you have 0 stock of the box but you have 1 box on an Ordered purchase order. How many single items does Lightspeed Retail need to order?

    The answer is since the 10 single items that you need to order are met by the Back Order quantity of 10 that you have in boxes. Once you receive your purchase order, simply start selling the single item and your Retail account will automatically take care of the rest! It will break down the box for you by subtracting the quantity you sold and allocating the remaining stock to your single item's In Stock quantities.

    Item's Details section

    Setting your reorder points and desired inventory levels from an item's Details section is helpful in instances where you need to update an individual item.

    1. From the main menu, click Inventory Item Search.
    2. Enter or scan your item's searchable details in the Search Item DescriptionsTag(s) or Exclude Tag(s) fields.
    3. Optionally, use the available filters under Advanced to refine your search results.
    4. Click Search.
    5. Click the description of your item to open it.
    6. From your item's Details section, enter your target quantities in the Reorder Point and Desired Inventory Level fields. 
    7. Click Save Changes.

    NOTE: If you have a small multi-store account, you'll see a Point and Level field for each shop location in your item's Details section, making it simple to enter all your target quantities in one go. If you have a large multi-store account, you'll need to change your shop from the top-left of the main menu and repeat steps 1-7 to set the target quantities of your other shops.

    Quick Edits 

    Setting your reorder points and desired inventory levels from the Quick Edits section is helpful in instances where you need to update multiple items.

    1. From the main menu, click Inventory Quick Edit Items.
    2. Enter or scan your item's searchable details in the Item SearchTag(s) or Exclude fields.
    3. Optionally, use the available filters under Advanced to refine your search results.
    4. From the drop-downs to the right of the Item Search field, select Reorder Points and Desired Inv. Lvl.
    5. Click Search to add the columns to your results.

      NOTE: To modify the number of results displayed per page, click the blue 15 PER PAGE > enter your desired amount > click OK. The maximum is 100 results per page.

    6. In the fields of the REORDER POINT and DESIRED INV. LVL columns, enter your target quantities for the associated items. Your adjustments are saved automatically.

    NOTE: If you have a multi-store account, you'll need to change your shop from the top-left of the main menu and repeat steps 1-6 to set the target quantities of your other shops.
