Lightspeed Accounting's reporting features

Lightspeed Accounting tracks all data that passes through it. While you'll handle most reporting in Lightspeed Retail or your accounting software, Lightspeed Accounting offers a high-level, at-a-glance overview of your performance.

Lightspeed Accounting Sales page

The Lightspeed Accounting Sales page gives you a high-level performance overview. You can compare sales made this year, sales made at the same time last year, and goals you've set for the current year.

The entire page can be filtered by date and store location. If the Store filter is set to All Stores, the page will display a table comparing each store’s performance.

The Sales by Week graph shows Sales, Comp Sales, and Goals:

  • Sales: Your sales totals by week.
  • Comp Sales: Your sales totals for the same week last year.
  • Goals: Target sales totals by week according to your forecasting.

Toggle a metric by clicking its name at the top of the graph.

The entire page can be filtered by date and by store location. If the filter is set to All Stores, you'll also see a table comparing the performance of each store.

Data syncing with Lightspeed Accounting

Lightspeed Accounting offers basic reporting to help find problems if data hasn't appeared in your accounting software as expected.

Data syncing with the Sales Totals report

The Lightspeed Accounting Sales Totals report can be used to determine if sales data hasn't synced to your accounting software. The report can be filtered by store location and by date range.

The totals represent your daily syncs from Lightspeed Retail to your accounting software. The Sales column indicates a status for that sync:

  • POST: The data is ready to sync to your accounting software, but hasn't been synced yet.
  • POSTED: The data has synced to your accounting software. If the cell’s background is yellow, the order was posted but hasn’t synced.
  • HOLD: Something is preventing this sync from taking place. Something is preventing this sync from taking place, usually incomplete data mapping. Navigate to Settings > Accounting > Purchase Orders to set the mapping.
  • NONE: There was no data to sync on this day.
  • OOB: The sales data for this sync is out of balance and must be corrected in order to sync. Contact Retail Support for assistance.
  • FAILED: The sync was attempted but an error prevented it from posting. Contact Retail Support for assistance.
  • UPDATEFAILED:
  • UPDATE: A data update is ready to be synced.
  • UPDATED: The data has been updated since its original sync and was resynced.

Click on a date to see detailed information about that day's activity:

  • Summary of the day's Total Revenue, Total Receipts, and Cash
  • Overview of Product Sales
  • Overview of the payments you've received in the Checks section (all payment types, not only checks)
  • Report on the syncing of the day's data in the Accounting section

Using the Accounting section to analyze failed syncs

The Accounting section displays the status of the sync, which can help determine why a sync failed.

If the POSTED status is False for a sync, it means data is ready, but it hasn’t yet synced.

If a day's sync is missing in your accounting software, check the accounting section to see if anything in the Description column is misaligned with a corresponding G/L Account or Item in your accounting software.

A misalignment indicates that the Lightspeed Retail item in the Description column hasn't been mapped. This causes a sync to be put on HOLD.

Complete the missing mapping to resolve this issue. After the data is mapped, the status for the day's sync will change from HOLD to POST. Data will be sent with the next daily sync.

Product Sales report

The Lightspeed Accounting Product Sales report displays sales by individual item. It can be filtered by store location and by date range.

After choosing your filters, click Refresh to generate the report.

The SKU column represents an item's Lightspeed Retail System ID and the Department column represents its Retail POS Category.
